Essential Duties and Responsibilities

  •  The person is responsible for picking and transporting the shipments, Track shipments and communicate with internal customers about the consignment progress. They fill out import-export documentation, compile carrier and keep track of shipment payments and quotas. The job necessitates alignment of activities with the PT Worldwide Logistics objectives, policies, procedures, and systems.
  • Make sure that all the procedures are carried out in compliance with the laws of our own country and the foreign country involved. The person is supposed to have a thorough knowledge of Customs rules and regulations. The person must ensure that Import-Export Administration Regulations are followed to avoid Shipment delays and costly penalties.
  • Responsible for Co-ordination with freight forwarder for shipment pickup arrangement from our Supplier Warehouse, movement toward port and timely shipment as per the shipment schedule, Interacting with the CHA for customs clearance.
  • Responsible for carrying out all export documentations, Physical Export document record maintenance, maintaining tracking sheet, Drawback (DBK) Claim File Preparation, Submission of documents to Customs, Drawback Credit Follow Up, Bank Remittance Certificate (BRC) document preparation and its submission when Foreign Inward Remittance Certificate (FIRC) is confirmed by remittance banks for Duty Draw back.
  • Deal with quotes from prospective shippers and handle claims with insurance companies.
  • Partner with Buyers, planners to ensure accurate movement of all international goods and ensure arrival of goods within required timeframe.
  • Arrange to book shipment by air, sea, or courier as per customer requirements. Find faster shipping routes, lower cost carriers as well as developing contingency plans to facilitate an expedited shipment.
  • Readying checklist for each shipment & verifies checklist before confirmation to freight forwarder to file shipping bills with DBK Sl. No & other benefit.
  • Troubleshooting issues with the Forwarder/CHA and communicating to management for timely actions. 
  • Procedures such as arrangements for freight shipments, cargo movement and communication for delays are to be overseen by the person. Ensure to track, measure, report and evaluate Service performance.
  • Follow up for post shipment documents (Exchange Control Copy (ECC), Exporter Promotion (EP) copy, Exporter copy, original Airway bill, Shipping BL ARE- 1 form & update it in tracker.
  • Preparing the ARE-1 form for Excise declaration.
  • The person to ensure enterprise-wide needs for due diligence, risk assessment and continuing service provider are accomplished.
  • To ensure compliance of HSE standards as stated in the policy in the area of work. As a responsible employee of the organization, the incumbent must bring to the attention of the safety committee any unsafe practice/working conditions in the facility, in external warehouses etc.
  • Design all SOPs for the EXIM department and ensure compliance with all Government guidelines and ensure reports are submitted to government agencies on time.
  • Collaborate with inter department team leader and perform audit on processes, making sure that all the EXIM programs agree with the accepted rules and regulations of the organization.

Keys to Success

  • Should be confident with figures, since they'll have to convert weights, volumes, and currencies for international shipments.
  • Must be familiar with the legal requirements regarding importing and exporting shipments, as well as their company's internal procedures.

Requirements and Preferred Skills

  • Any graduate/postgraduate with complete knowledge in EXIM functions
  • Must have a minimum of 5-7 years of experience in EXIM functions and customs rules.
  • Import-export trade regulations certificate programs and experience in an international trade industry will be an added advantage.
  • Excellent communication, interpersonal and influencing skills.
  • Excellent analytical and problem-solving abilities.
  • Commercially and financially astute with experience of managing budgets.
  • Resilient, self-motivated, and able to work well under pressure.
  • Excellent planning and scheduling skills are required.
  • Ability to make decisions on the go in liaison with the relevant stakeholders.
  • This role requires a self-driven self-starter.
