Essential Duties and Responsibilities
The position reports to and receives functional guidance from the S&OP Senior Analyst. It is responsible for:
- Creating and maintaining inbounds in SAP
- Tracking shipments once the product has been shipped from suppliers
- Maintaining updates to shipments so the business is clear when shipments are delayed
- Representing Gates Australia Pty. Ltd (GAPL) in dealing with Australian Customs and haulers
This position is authorised in sea and air freight transactions only, to approve invoices from Australian Customs, GAPL appointed freight forwarders and freight charges from GAPL suppliers.
YOUR RESPONSIBILITIES / ACCOUNTABILITIES:
The International Logistics Analyst specific responsibilities will fall into the following primary areas:
- Container scheduling: Liaises with Warehouse Receiving and haulers to maintain a smooth flow of container receipts. Updating the sea and air freight trackers to provide clarity to Receiving and S&OP on container arrival dates.
- Providing import documentation when haulers have not received it from suppliers.
- Monitor import status to co-ordinate with customer service and the business
- Process import documentation for air and sea freight shipments
- Keep the business updated on shipments and consult on solutions for changes or issues.
- Ensure efficient import processes to expedite clearance and delivery.
- Obtain and submit shipping documents when requested by Customs.
- Tariff codes and tariff concession review: maintains tariff master file to ensure correct duty rates are used and liaise with our customer broker’s staff to maintain tariff concessions.
- Authorization of Exports/Imports documents: checks and authorizes service fees, custom duty, freight and handling charges on import/export tax invoices.
- Liaising with haulers when shipments are missing from their reports or delays have occurred.
- Shipment creation in SAP – checking automated inbounds have all created and creating the non automated sites inbounds – majority are manual
- Prioritizing inbounds to recover out of stocks.
- Investigating issues - on deliveries and invoice queries when stock has not been receipted. Supporting Finance to ensure smooth flow of invoice payments.
- Provide data for Regional requests when necessary – eg container forecasts
- Tracking the air and sea freight spend, with Finance, to monitor when there are peaks and be able to explain what has happened during that time period.
- Review costs per lane to understand the cost implications when products move to a different supplier.
- Supporting SAP testing and UATs when required.
- Quality Commitment. Actively supports and practices the principles of Gates quality commitment and continually analyses and implements improvements to job functions.

Requirements and Preferred Skills
REQUIRED SKILLS AND KNOWLEDGE:
- Ability to work autonomously and stay driven & focused
- Ability to work within deadlines and possess a methodical and organised approach to the completion of duties
- Strong time management and organization skills to handle varied workload
- Ability to collaborate well with all GAPL staff
- Excellent oral and written communication skills
- Proficiency in MS Office and other business software
YOUR QUALIFICATIONS:
- 2 years or more of experience in a similar role
- Experience with SAP is desirable
- Intermediate or Advanced in Microsoft Excel Skills
- Understanding of international freight forwarding and International Commercial (INCO) terms
- A Diploma of Logistics (TLI50415) or equivalent Supply Chain Management qualification may be beneficial
