Essential Duties and Responsibilities

 

  • Maintain accurate and up-to-date employee records in both physical files and the HRIS system.
  • Prepare employment contracts and onboarding documentation for new hires.
  • Create and manage offboarding documentation for departing employees.
  • Administer all contractual changes and ensure updates are reflected in HR systems and documentation.
  • Oversee and manage the entire employee life cycle, ensuring compliance with internal policies and Polish labor law.
  • Cooperate with the external payroll provider by submitting accurate data and reviewing payroll outputs for correctness.
  • Administer employee benefits.
  • Prepare and submit regular reports on headcount, working time, salaries, and benefits.
  • Cooperates with SOX audit team.
  • Provide recommendations and input on employment matters from a legal and compliance perspective.
  • Act as the first point of contact for employees on HR-related topics, including contracts, payroll, benefits, and employment conditions.
  • Resolve employee queries promptly and professionally, ensuring high-quality HR service delivery.

Supervisory Responsibilities

  • No supervisory responsibilities but may provide guidance to new associates

Requirements and Preferred Skills

  • 2–4 years of experience in HR, with a focus on HR administration and hard HR processes (e.g., contracts, employee records, compliance, etc.).
  • Bachelor’s degree in Human Resources, Business Administration, or a related field — or equivalent work experience with solid understanding of HR principles.
  • Strong knowledge of Polish labor law – this is a must-have.
  • Good working knowledge of MS Office tools, particularly Excel, Word, and Outlook.
  • Communicative English skills – both spoken and written – sufficient for daily work and internal communication.
  • Understanding of payroll processes is a strong asset.
  • Ability to analyze problems, suggest improvements, and implement practical solutions.
  • High level of integrity, discretion, and trustworthiness.
  • Team spirit and flexibility – ability to cover for colleagues during absences.
  • Well-organized, able to manage own workload independently, and take initiative when needed.
